job description

We are looking for a highly organised, experienced individual to join a small vibrant team. There is never a dull day in the office with this dynamic and varied role. As an Executive Assistant, you will be providing support to the CEO of a growing organisation.

Duties of the role include but are not limited to:

  • Management of diary, phone calls and email on a day to day basis e.g. organising appointments, coordinating meetings, screening incoming calls
  • Prepare meetings by gathering, collating, distributing, and organising information, diaries, and related materials
  • Issue agendas, take notes at meetings and produce clear minutes and action points, co-ordinate regular reporting on actions and issues
  • Organise guest speakers/presenters to attend meetings/forums
  • Draft replies to routine correspondence on behalf of the CEO by reviewing and editing papers, reading and responding to e-mails, drafting responses to correspondence
  • Advise CEO of relevant inwards and outwards correspondence relating to critical issues
  • Produce charts, spreadsheets, presentation slides and text
  • Act as the first contact point for all incoming telephone calls to the office
  • Analyse incoming correspondence to identify issues and pass on to the appropriate recipient
  • Organise functions, send out invitations, arrange rooms, organise catering, greet visitors
  • Arrange travel, accommodation, meetings and catering arrangements
  • Facilities coordination and invoice management
  • Ensure confidential or sensitive information is handled appropriately
  • Demonstrate sensitivity to the nature of various professional relationships that are required in a business environment and by managing relationships carefully, with a knowledge of their likely impact

Skills and experience required:

  • Experience in events management and/or organising and co-ordinating activities and individuals at a senior level
  • Experience in general office duties, operating equipment etc.
  • Experience in working with a wide range of computer-based secretarial, administrative, and presentation applications
  • Previous experience in a legal environment is an advantage
  • A minimum accurate word processing speed of fifty words per minute
  • Proficient using Microsoft Outlook
  • Experience in resolving IT issues
  • Previous experience working with Xero
  • A high level of attention to detail
  • Great communication and interpersonal skills
