We are recruiting for an experienced Process Documentation & Incident Support Specialist to join a large, operationally complex organisation on a temporary contract. This role will suit someone who is methodical, pragmatic, and confident stepping into a live environment where they can quickly add value while taking the time to properly analyse and document existing processes. This is a hands-on role suited to someone who enjoys working across both analysis and execution, and who is comfortable engaging with stakeholders at all levels of an organisation.
Job Title: Process Documentation & Incident Support Specialist
Location: Auckland-based (hybrid/onsite as required)
...
Role type: Part-time, 30hr/week
Duration: 4–6 months
Start Date: ASAP!
Rate: $35 – $45 per hour + 8% holiday pay
The Role
This role focuses on documenting and refining existing operational and technical processes, while also providing incident management support to relieve senior technical teams. You will spend time meeting with stakeholders and participants to understand current-state processes, documenting them clearly, identifying gaps, and supporting continuous improvement through practical recommendations and iteration. In addition, you will assist with incident reporting, applying real-world learnings back into the process review and documentation work.
Key responsibilities include:
- Meeting with stakeholders to understand and document existing processes
- Reviewing, refining, and finalising process documentation
- Documenting end-to-end processes
- Examining current incident and problem management processes and identifying gaps
- Acting as Incident Manager for approximately 10–15 incidents per month
- Feeding operational learnings back into process improvements and documentation
- Ensuring documentation is clear, practical, and fit for purpose
About You
This role requires someone who can quickly understand a technical environment, work independently, and strike the right balance between accuracy and pragmatism. You will ideally bring:
- Experience documenting processes within a technical or operational environment
- Familiarity with Incident and/or Problem Management (beneficial but not essential)
- Strong written and verbal communication skills
- High attention to detail with the ability to translate technical steps into plain language
- A pragmatic mindset, comfortable delivering a strong 90% and improving through iteration rather than chasing perfection
- The ability to engage confidently with stakeholders at all levels, from frontline staff through to first-line management
- The capability to hit the ground running while still taking the time to analyse processes thoroughly
- Experience within transport, infrastructure, or asset-heavy environments will be viewed favourably.
Why work with us?
This is an opportunity to step into a meaningful role where your work will have immediate impact. You’ll be trusted to work autonomously, bring structure to existing processes, and provide practical support to busy technical teams.
If you’re an experienced professional who enjoys clarity, ownership, and tangible outcomes, we’d love to hear from you!
